Freedot Executive Assistant (assist.freedot.ca) is a personal assistant app made by Freedot, Ontario, Canada. It helps you plan your day, sorts your email and prepares replies for you to check. This page explains what the app reads, what it keeps, and who it shares it with. Questions: hello@freedot.ca.

Signing in

You sign in with Google, with Microsoft, or with a code sent to your email. We keep your name, email address and the settings you choose (time zone, meeting hours, theme).

Calendar

With your permission the app reads the calendars you connect to show your schedule and free times, and creates or changes events only when you ask (for example, booking a meeting you accepted). Event details are read when needed; the app keeps only what its reminders need, such as an appointment's time and place for a “time to leave” alert. If you link a partner, they see only when you're busy, unless you choose to share event details with them.

Email (Gmail, Outlook, Hotmail)

If you connect a mailbox in the Inbox tab, the app reads new emails to sort them: what needs you, what is just for your information, and junk. To understand an email it reads the email, its conversation and its attached documents (PDF, Word, text). To learn how you write, it reads emails you sent in the last 6 months and keeps a short description of your writing style, never the emails themselves.

For each sorted email the app keeps the sender, subject, date, a short preview, a summary, the key facts (dates, times, what was asked) and any reply draft you create. It never keeps the full email or the attachments. Replies are saved as drafts in your own mailbox. An email is only sent when you tap Send. You can correct how an email was sorted; the app remembers that correction for that sender. The phone notifications you received are listed in the app for 30 days.

AI processing

To sort emails, write summaries and drafts, and prepare briefings, the relevant text is sent to OpenAI through its API. OpenAI does not use data sent through its API to train its models. No other AI company receives your data.

Location

Only if you allow it on your device, the app keeps a rough location (about 100 m) to show the weather and to work out drive times and when to leave for an appointment. Addresses you type are looked up with Google Maps.

Who we share with

Only the services that run the app: Supabase (database), Vercel (hosting), OpenAI (AI processing), Google and Microsoft (your calendar and email, at your request), and Apple or Google (to deliver phone notifications). We never sell your data, never use it for advertising, and people at Freedot never read your email unless you ask us for help with a specific email, or the law requires it.

Google and Microsoft data

The app's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Data from Gmail and Outlook is used only to provide the features you see in the app, is not used to train AI models, and is not transferred to anyone except as described above.

Security

Data travels encrypted (HTTPS) and is stored encrypted by our providers. Each account can only see its own data. Access to your email and calendar is stored as revocable tokens, never your password.

Your choices

You can disconnect a mailbox or calendar in Settings at any time, or revoke the app's access at myaccount.google.com/permissions (Google) or account.live.com/consent/Manage (Microsoft). To get a copy of your data or delete your account and all its data, email hello@freedot.ca; we do it within 30 days.
